Before implementing Peripass, yard operations at Vandemoortele relied heavily on manual processes and repeated communication between teams.
“Before, the loading staff constantly phoned the expedition office to ask what needed to be loaded into each truck,” says Koen. “Drivers had to present themselves at the office multiple times: first to announce their arrival, then to receive a gate assignment, and again for paperwork.”
Dispatching was phone-based, driver registration was done manually, and access control lacked precision. This led to unnecessary walking, waiting, and frequent miscommunication.
Vandemoortele deployed Peripass across the site as a central logistics platform to overcome their challenges. Upon arrival, drivers register themselves at a self-service kiosk. The interface allows them to select their language out of ten available and their activity, whether loading, unloading, making a drop-off, or visiting the site in another capacity. They then enter key shipment details, including the shipment number and trailer licence plate.
Once registered, drivers automatically receive an SMS in their selected language, guiding them to the appropriate parking location and removing the need for verbal instructions from site personnel. Inside the expedition office, staff can now view all registered drivers on a central screen and assign them to specific gates with a simple drag-and-drop action. Each gate is colour-coded: green for vacant, orange for trucks en route, and red for those already docked—automatically detected via a wheel-blocking system linked to the platform.
The Peripass dashboard also offers real-time visibility into loading activities. Warehouse staff can instantly see which pallets must be loaded onto which trucks, eliminating the need for phone calls or walking to the office to verify information. This digitised approach ensures that everyone is aligned, reducing delays and improving communication throughout the site.
With Peripass in place, Vandemoortele now manages its complex logistics operations with greater speed, accuracy, and transparency. Driver interactions have been reduced to a single touchpoint at the start of their visit, as all other communication is automated and delivered in their native language. The internal exchange of information between the expedition office and warehouse teams has also been transformed, replacing paper-based processes with instantaneous digital updates.
Security on site has also seen a significant boost. Every driver now receives a unique PIN code for gate access, allowing Vandemoortele to monitor in real time who is on-site and who has left; a vital component for food defence compliance. Although trailer tracking is still managed on paper for now, Koen and his team are piloting the Peripass asset management module. They hope to go live with it soon to enhance their ability to monitor which trucks are available for preloading and which are still pending arrival.
The wheel-blocking systems, integrated with Peripass, further reinforce safety measures by ensuring that trucks cannot depart while loading bays are in use. A physical pin is placed behind the wheel, and as long as the dock door remains open, the system prevents the driver from removing it. This feature adds an extra layer of control to their yard operations.
“We know exactly which truck is where, which ones we can start preloading, and which we’re still expecting,” says Koen. “Peripass didn’t just improve driver communication—it made our whole site more secure, efficient, and transparent.”
